How to Get a UTR Number as a Sole Trader

SOLE TRADER UTR GUIDE

How to get a UTR number

Understand what a UTR is, how sole traders receive one and what to do if yours has not arrived.

View the steps

If you want to get a UTR number as a sole trader, you normally receive it after registering for Self Assessment. You do not usually apply for a UTR as a separate product. Instead, HMRC creates the number when it processes your registration.

10 digits

A Self Assessment UTR contains ten digits. Keep it private because it identifies your tax record.

Issued by HMRC

HMRC sends the number after your registration has been processed.

Keep it safe

You may need the UTR for future HMRC contact or when appointing an authorised agent.

How to get a UTR number as a sole trader

1. Check whether you need Self Assessment

First, check your circumstances through GOV.UK. For example, a person with more than £1,000 of gross trading income in a tax year will usually need to consider registration.

2. Register as self-employed

Next, use the official HMRC registration route. You will normally need your National Insurance number, contact details, business start date and a description of your work.

3. Wait for HMRC to process the registration

Processing and delivery times can vary. Therefore, register early rather than waiting until the deadline.

4. Store the UTR securely

When it arrives, save the letter and keep a secure digital note of the number. Do not display your UTR on public invoices, websites or social media.

Where can you find an existing UTR?

If HMRC has already issued one, check earlier tax returns, Self Assessment statements, payment reminders and letters from HMRC. You may also find it in your Personal Tax Account. However, do not confuse the UTR with your National Insurance number or Government Gateway user ID.

What if your UTR has not arrived?

Use HMRC’s official response-time checker first. In addition, confirm that your address was correct when you registered. Avoid submitting another registration unless HMRC tells you to do so, because duplicate applications can cause confusion.

UTR, Government Gateway ID and National Insurance number

UTR

Identifies your Self Assessment tax record.

Gateway ID

Helps you sign in to government online services.

NI number

Identifies your National Insurance record.

Prepare your records while you wait

You do not need to delay your bookkeeping while waiting for a UTR. Instead, begin organising invoices, receipts, bank transactions, mileage information and business costs. As a result, your records will be easier to review later.

UTR number questions

Is a UTR the same as registering a business name?

No. A UTR identifies a tax record. Sole traders do not register a business name at Companies House.

Can I have more than one Self Assessment UTR?

An individual normally keeps the same Self Assessment UTR. If you registered before, check whether you need to reactivate your account.

Can someone else use my UTR?

Keep the number secure. Only share it through an appropriate secure process when needed.

Do I need a UTR before I keep records?

No. Start keeping complete business records from the beginning of your trading activity.
