First, create a clear, professional invoice for your UK business. In addition, this printable template includes the essential details for sole traders and partnerships, with guidance for VAT-registered businesses.

What must a UK invoice include?

For example, government guidance says a standard invoice should include a unique identification number, supplier and customer details, a description of the goods or services, supply and invoice dates, amounts charged, VAT where applicable, and the total owed.

Business details

First, add your business name, address and contact information. In particular, sole traders should include their own name and any trading name.

Customer details

Next, add the name and address of the customer or business you are invoicing.

Invoice details

Then, add a unique invoice number, invoice date, supply date, description, amounts and total due.

VAT information

Finally, if applicable, include your VAT number and show the VAT rate, net value, VAT amount and gross total clearly.

Important: Do not add VAT unless the business is VAT registered. Therefore, check the current GOV.UK invoice requirements if you are unsure.

VAT and non-VAT invoice examples

Not VAT registered

  • First, leave out the VAT number and VAT column.
  • Next, do not charge or show VAT.
  • Then, show the full amount payable as the total.
  • Finally, you may state “Not VAT registered” for clarity.

VAT registered

  • First, add the business VAT registration number.
  • Next, show the net amount for each item.
  • Then, show the VAT rate and VAT charged.
  • Finally, show net, VAT and gross totals separately.

Simple invoice-numbering examples

Above all, every invoice needs a unique identification number. Therefore, choose a logical sequence and use it consistently.

For this reason, do not reuse the same number for different invoices. Also, keep copies of issued invoices with your bookkeeping records.

Editable invoice template for sole traders

In practice, this invoice template is suitable for UK sole traders, freelancers and partnerships. Sole traders should include their personal name, any trading name they use, and an address where legal documents can be delivered. If you are not VAT registered, select 0% VAT and do not show a VAT registration number.

Common invoicing mistakes

  • For example, using duplicate or missing invoice numbers.
  • Also, leaving out the supply date or customer address.
  • Likewise, charging VAT when the business is not VAT registered.
  • In addition, failing to separate net, VAT and total figures on a VAT invoice.
  • Similarly, using vague descriptions that do not explain what was supplied.
  • Finally, forgetting payment terms or bank-payment references.
  • As a result, not recording credit notes or cancelled invoices correctly.

Invoice template questions

Can a sole trader use this template?

Yes. In particular, include your personal name, any business name you use, and an address where legal documents can be delivered.

Can a partnership use this template?

Yes. Include the partnership’s full trading name, business address and the details needed for the invoice. In addition, keep the invoice with the partnership’s business records.

Should I add VAT?

Importantly, only add VAT if the business is VAT registered and the supply is subject to VAT. Then, keep VAT figures clearly separated.

Is an invoice the same as a receipt?

No. Instead, an invoice requests payment; a receipt confirms that payment has been received.

Can I save the template as a PDF?

Yes. Then, select “Print or save as PDF,” and choose the PDF option in your browser or device print menu.
